New Shift Book Tool
How we helped with documentation in a highly regulated industry by building a shift book tool.

Background
Sarpi Veolia Schkopau is a wholly owned subsidiary of the largest European hazardous waste disposal company SARP Industries-VEOLIA.

There are several pain points the customer had to deal with.

• Documentation requirement in strictly regulated industry: Documentation of daily work, e.g. tank levels of operating materials, quantities burned, problems with machines and measured values during wastewater treatment.

• Ensuring proper operation through documentation: Shift supervisors must always have an overview of operational procedures and breakdowns. In shift operations, clean documentation is indispensable as part of the shift handover.

• Time for the actual work: With all the advantages of documentation, there must be enough time for the actual work.
Of course, digital documentation was done before that as well. Nevertheless, there are a few reasons why Sarpi Veolia Schkopau needs a new tool.

• The underlying data structure of the existing tool is not comprehensive: Much information is entered as free text, for example. This lead discrepancies in data quality. And it is difficult to evaluate shift reports in a structured way.

• The user experience is outdated: This makes acceptance in the plant more difficult. The employees used to a good UX from digital leisure activities.

• Group-wide introduction of Google products: This makes the future operation of the Microsoft access-based application impossible.

• Maintenance and further development of the existing tool: This will become increasingly difficult in the future due to the previously mentioned reasons.
The implementation
Following our proven procedure, we started the cooperation with a concept sprint. Later, the application can then be extended to other plants.

Through structured interviews and mock-up walkthroughs, we talk to the different user groups to develop the new shift book tool from the beginning in a way that solves the daily problems of the users and is user-friendly.

The focus of the tool is on the following topics:

• Complete coverage of the accruing data points (tens of thousands per year) in a database structure: To meet both regulatory and economic requirements for the data.

• Modularity and reusability in the developed application: So the shift book tool can be used on other Sarpi Germany plants in the future.

• Good UX to keep the acceptance of the tool permanently high.

• Integration into the Google Cloud strategy of the group.
The collaboration
The starting MVP was based on the breakdown and prioritization from the concept sprint. We worked in 2-week sprints with customer meetings at the end of the sprints. Our collaboration is a process of continuous development incl. hosting and maintenance.
Technology Deep Dive
The shift book tool is a container-based fullstack Typescript application.

• Hosted in a Kubernetes cluster on AWS: Access from anywhere, high security standards, good scalability.

• Authentication via Google accounts using Passport.js: Users do not have to remember extra data and can log in with one click.

• Nuxt Sessions to ensure that the user stays logged in until he logs out or exceeds the maximum session duration: Best balance between user experience and security.

• PostgreSQL & TypeORM in conjunction with Yup for database: Achieve higher development speed and lower error-proneness using Yup schemas.

• VueJs and AntDesign for modern user interface.

• html2pdf.js for dynamic export of reports as PDF files.

• Chart.js for data visualization: Works well in conjunction with Nuxt 3, provides high type safety.
